Privacy Policy
Your members trust you. You can trust us.
This policy explains what data our gym management platform handles for gyms and fitness studios, why it is needed, how it is protected and the choices gyms and their members have.
Who this policy covers
It covers three groups: gym owners and staff who use the platform, members whose records are kept by a gym on the platform, and visitors who fill in forms on this website.
For member records, the gym is the owner of the data and decides how it is used. We process that data on the gym's behalf to provide the service.
Data we handle
- Account details for gym owners and staff: name, work email, role and branch.
- Member records entered by the gym: name, phone, email, plan, payments, check-ins, class bookings, PT sessions and documents such as joining forms.
- Optional photos and biometric templates when a gym uses face or fingerprint check-in. Fingerprints are stored as encrypted templates, not images.
- Health declaration forms, only where a gym chooses to collect them.
- Website form details: name, email, gym name, city, studio type, member and branch counts, and your message.
- Basic technical data such as browser type and pages visited, used to keep the website working and secure.
How the data is used
- To run memberships, check-ins, class bookings, trainer rosters, payments, invoices and the member app.
- To send messages a gym has set up, such as renewal reminders, class confirmations and notices, only to members who agreed to receive them.
- To generate churn alerts from visit patterns. Body measurements, weight, photos and health forms are never used for this.
- To create your trial account and send login details when you sign up.
- To reply to messages sent through the contact form.
What we never do
- Sell member or gym data, or share it for advertising.
- Give diet, medical or injury advice, or use health forms to profile members.
- Send pressure or shaming messages based on attendance.
- Contact a gym's members for our own marketing.
Security
Data is encrypted in transit and at rest. Photos, documents and health forms are visible only to staff roles the gym has authorised. Staff actions such as discounts, freezes and transfers are recorded in an audit log.
Messaging and opt-out
Members choose whether to receive WhatsApp, SMS, email or push messages. Every marketing or outreach message includes an easy opt-out, and service messages such as payment receipts can be limited to what the member needs.
Sharing with service providers
We use carefully chosen providers for hosting, payment processing, messaging and email delivery. They receive only the data needed for their task and are bound by confidentiality and data protection terms. Payments are processed by the gym's payment gateway; card and UPI credentials are not stored on our servers.
Retention and deletion
Gym data is kept while the gym's account is active. A gym can export its data at any time and ask for deletion when it leaves. Members can ask their gym to correct or delete their record. Invoices and payment records may be kept for the period required by tax law.
Your rights
You can ask to access, correct, export or delete your personal data, and withdraw consent for messages at any time. Members should contact their gym first, as the gym controls their record. Website visitors and gym owners can reach us through the Connect with us page.
Children
Gyms that enrol members under 18 are responsible for getting consent from a parent or guardian. Messages to minors should be addressed to the parent or guardian.
Changes to this policy
If we make material changes, gym owners will be notified by email or inside the product before the changes take effect.
